DealSync ("we," "our," or "us") operates the DealSync.me platform, including the web application at app.dealsync.me (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

We collect information you provide directly to us when you create an account, use the Service, or communicate with us:

• Account information: Name, email address, phone number, company/brokerage name, NMLS number (for Loan Officers), and password.
• Deal information: Borrower names, contact details, property information, loan details, transaction milestones, and notes you enter into deal cards.
• Conversation data: Transcripts or summaries you voluntarily import into DealSync from third-party recording tools (such as Plaud.ai or Otter.ai).
• Payment information: Billing details processed securely through Stripe. We do not store credit card numbers on our servers.
• Usage data: Information about how you interact with the Service, including pages visited, features used, and timestamps.

2. How we use your information

We use the information we collect to:

• Provide, maintain, and improve the Service.
• Create and manage your account and partnerships.
• Process transactions and send billing-related communications.
• Send notifications about deal updates, stage changes, and partner activity.
• Analyze usage patterns to improve product features and user experience.
• Respond to your requests, comments, or questions.
• Comply with legal obligations.

3. AI-powered features

DealSync uses artificial intelligence (powered by the Anthropic API) to analyze conversation transcripts you import into the platform. This analysis extracts structured data such as borrower names, loan details, and action items. The transcript text is sent to the Anthropic API for processing and is not stored by Anthropic beyond the processing session. We do not use your data to train AI models.

4. Information sharing

We do not sell, rent, or trade your personal information to third parties. We may share your information in the following limited circumstances:

• With your partners: Deal information is shared between Loan Officers and Realtors who are linked as partners within the Service. This is the core functionality of DealSync.
• Service providers: We use third-party services to operate the platform, including Supabase (database hosting), Vercel (web hosting), Railway (API hosting), Stripe (payment processing), and Resend (email delivery). These providers access your data only to perform services on our behalf.
• Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
• Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data security

We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS/SSL), secure password hashing, row-level security policies on our database, and regular security audits. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data retention

We retain your account information and deal data for as long as your account is active or as needed to provide the Service. If you close your account, we will retain your information for a reasonable period to comply with legal obligations and resolve disputes. Deal data associated with active partnerships may be retained to maintain the integrity of shared deal records.

7. Your rights

You have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request deletion of your account and personal data, subject to legal retention requirements.
• Opt out of marketing communications at any time.

8. Cookies and analytics

We use Vercel Web Analytics to collect anonymous usage data about how visitors interact with our website. We use localStorage in your browser to maintain your login session. We do not use third-party advertising cookies or tracking pixels.

DealSync is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the effective date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
