DealSync ("we," "our," or "us"), operated by Valience LLC, a Wyoming limited liability company, operates the DealSync.me platform, including the web application at app.dealsync.me (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. This Policy is incorporated into our Terms of Service and should be read together with our Legal Disclaimer.

1. Information we collect

We collect information you provide directly to us when you create an account, use the Service, or communicate with us:

• Account information: Name, email address, phone number, company/brokerage name, NMLS number (for Loan Officers), time zone, and password.
• Deal information: Borrower names, contact details, property information, loan details, transaction milestones, and notes you enter into deal cards.
• Conversation data: Transcripts or summaries you voluntarily import into DealSync from third-party note-taking or transcription apps.
• Payment information: Billing details processed securely through Stripe. We do not store credit card numbers on our servers.
• Usage data: Information about how you interact with the Service, including pages visited, features used, and timestamps.

Prohibited sensitive data. DealSync is not designed to store highly sensitive consumer financial data. You agree not to enter Social Security numbers, full credit reports, tax returns, or bank/account numbers into the Service. As a safeguard, we apply automated, best-effort redaction to certain patterns (such as Social Security numbers) in free-text fields before storage; this redaction is a courtesy and is not guaranteed or comprehensive.

2. How we use your information

We use the information we collect to:

• Provide, maintain, and improve the Service.
• Create and manage your account and partnerships.
• Process transactions and send billing-related communications.
• Send notifications about deal updates, stage changes, partner activity, and letter requests (by email and, if you opt in, browser push notifications).
• Analyze usage patterns to improve product features and user experience.
• Respond to your requests, comments, or questions.
• Comply with legal obligations.

3. AI-powered features

DealSync uses artificial intelligence (powered by the Anthropic API) to analyze text you submit, such as conversation transcripts you import, to extract structured data and generate summaries and suggestions. The submitted text is sent to the Anthropic API for processing and is not retained by Anthropic to train its models. We do not use your data to train AI models. AI output may contain errors; you are responsible for verifying it before relying on it.

4. Information sharing and subprocessors

We do not sell, rent, or trade your personal information. We may share your information in the following limited circumstances:

• With your partners: Deal information is shared between Loan Officers and Realtors who are linked as partners within the Service. This is the core functionality of DealSync.
• Service providers (subprocessors): We use trusted third parties to operate the platform, including Supabase (database, authentication, and file storage), Vercel (web hosting), Railway (API hosting), Stripe (payment processing), Resend (outbound email), Postmark (inbound email processing), and Anthropic (AI processing). These providers access your data only to perform services on our behalf.
• Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
• Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Data security

We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS/SSL), encryption at rest, secure password hashing, row-level security policies on our database, multi-factor and passkey authentication options, and automated redaction of certain sensitive patterns. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data retention

We retain your account information and deal data for as long as your account is active or as needed to provide the Service. If you close your account, we will retain your information for a reasonable period to comply with legal obligations and resolve disputes. Deal data associated with active partnerships may be retained to maintain the integrity of shared deal records.

7. Your rights

You have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request deletion of your account and personal data, subject to legal retention requirements.
• Opt out of marketing communications at any time.

8. Cookies and analytics

We use Vercel Web Analytics to collect anonymous usage data about how visitors interact with our website. We use localStorage in your browser to maintain your login session. We do not use third-party advertising cookies or tracking pixels.

9. Your compliance responsibilities

If you are a mortgage or real estate professional, you are responsible for ensuring that your handling of consumer information through the Service complies with the Gramm-Leach-Bliley Act (GLBA), the policies of your employer or sponsoring institution, and other applicable privacy laws. 10. Children's privacy

DealSync is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the effective date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
